Cancellation Policy

​

We require a minimum of 24 hours’ notice if you are unable to attend your appointment.

 

From February 2026, cancellations or missed appointments without sufficient notice will be charged at the full cost of the treatment, equivalent to the self-pay rate.

 

Please note that medical insurers do not cover missed appointments or appointments rescheduled without sufficient notice. Therefore, these charges are the patient’s responsibility.

 

Payments

 

  • Prepayment is required for all private (self-paying) appointments at Ultra Sports Clinic.

  • We do not accept AMEX as a form of payment.

  • We do not accept cash or cheques.

 

Promotions – General

 

  • Promotional or discount codes must be quoted at the time of booking.

  • All appointments are subject to availability.

  • Discount codes can only be used once per individual (unless stated otherwise).

  • Promotions are non-transferable between services.

  • Promotions cannot be used in conjunction with any other offer, including other promotions or booklets.

  • Promotions cannot be used for direct billing to insurance companies.

  • Where an end date is stated, the booking must be made before this date.

 

Package Policy

 

  • Packages are valid for 6 months from the date of purchase.

  • Any remaining sessions not booked within this period will be forfeited.

  • No refunds will be issued for packages, including expired packages.

September Refer a Friend Promotion

Refer a Friend and you both get 10% off a self funded treatment undertaken during September 2026. When your Friend books, they will need to provide your name and the following code: USCSEPT10 

 

September Refer a Friend Promotion – Terms & Conditions 

​

1. Eligibility 

  • This promotion is open to self funding patients of Ultra Sports Clinic (“USC”) aged 18 or over. 

  • The promotion applies only to treatments delivered at USC clinics during the month of September. 

  • Insurance funded patients are not eligible for discounts under this promotion. 
     

2. Promotional Period 

  • The promotion is valid from 1 September to 30 September, inclusive. 

  • Only treatments undertaken within this period qualify for the discount. 
     

3. How the Promotion Works 

  • Existing patients (“Referrers”) may refer a new patient (“Friend”) to USC. 

  • The Friend must provide the Referrer’s name and the referral code USCSEPT10 at the time of booking. 

  • The Friend must be a new, self funding patient who has not previously attended USC. 
     

4. Friend’s Discount 

  • The Friend will receive 10% off their first self funded treatment undertaken in September. 

  • The discount cannot be applied to: 

  1. Treatment packages (already discounted) 

  2. Insurance funded treatments 

  3. Podiatry treatments  

  • The discount is applied once and cannot be transferred or exchanged. 
     

5. Referrer’s Discount 

  • After the Friend has attended and completed their first appointment, the Referrer will receive 10% off their next self funded treatment undertaken in September. 

  • The discount cannot be applied to: 

  1. Treatment packages (already discounted) 

  2. Insurance funded treatments 

  3. Podiatry treatments  

  • The Referrer’s discount is valid only once per successful referral.
     

6. Additional Conditions 

  • Multiple referrals are permitted; however, each referral only generates one Referrer discount, and each Friend may only redeem the offer once. 

  • Discounts cannot be combined with any other offers, promotions, or package pricing. 

  • Discounts have no cash value and cannot be exchanged for alternative services. 
     

7. Verification & Misuse 

  • USC reserves the right to verify eligibility and refuse discounts where misuse, incorrect information, or fraudulent activity is suspected. 

  • USC may withdraw or amend the promotion at any time if necessary. 
     

8. Liability 

  • USC accepts no responsibility for bookings not completed due to technical issues, system errors, or circumstances outside its control. 
     

9. Data Protection 

  • Personal data provided for the purpose of this promotion will be processed in accordance with USC’s Privacy Policy and applicable UK data protection laws. 
     

10. Governing Law 

  • These Terms & Conditions are governed by the laws of England and Wales. 

  • Any disputes arising in connection with the promotion will be subject to the exclusive jurisdiction of the courts of England and Wales.
